Autumn term 2026: the decisions that cost nothing

Autumn feels far too early, which is exactly why it is useful. Nothing decided in October is under pressure, and every one of these questions gets harder the later you leave it.

  • Who owns this. One named adult, with one named deputy. Leavers hoodie orders that drift are almost always orders where three people each assumed another was handling it.
  • How it is funded. School budget, PTA, or parents paying individually. This decides how many options you can offer, whether you can hold spares, and how you handle a family who cannot afford one. Agree the hardship route now, quietly, before any pupil has seen a design.

  • An indicative quote. Get a rough figure even if nothing is fixed. It tells you whether the specification you are imagining and the budget you have are in the same region, while there is still time to change one of them.

Spring term 2027: artwork, names and sizes

Spring is where the leavers hoodie stops being an idea and becomes files and a spreadsheet. Three jobs run in parallel and all take longer than expected.

The name list

Check it against the current roll, not a register from September. Cohorts move: managed transfers, families relocating, pupils who said no in January and yes in April. Two adults should proofread the final list independently and read it aloud, because misspelt surnames are what families remember.

Set your nickname rule in writing before you collect a single submission, and say plainly that entries may be declined. Nicknames approved in March get objected to in July, and by then the garment exists.

Sizing

Do this with a physical size set rather than a form. Branded garment sizing varies enormously between manufacturers, so a pupil saying they wear a medium is not usable information. Book a fitting session in tutor time and record sizes against the register.

It matters more here than on any other school order, because printed garments cannot be returned or resold. A wrong size is a reprint, not an exchange.

The cut-off date

Publish one date for names, sizes and payment, send it to pupils and parents in the same message, and state that late entries cannot be added. Then hold it. Every late leavers hoodie order has a story that begins with a cut-off date that moved once.

Why the spring rush is real

Garments are rarely the constraint. Decoration capacity is. Screen printing, embroidery and transfer application all take machine time, and every school in the country wants its leavers hoodies inside roughly the same six-week window at the end of the academic year.

An order placed before that window gets the same production quality with room around it: time to read a proof properly, correct a spelling, change your mind about a colour. An order placed inside it gets every one of those steps compressed, and that is where mistakes become printed mistakes.

Summer term 2027: delivery, handout and wearing

The summer term is shorter than the calendar suggests. Study leave removes Year 11 and sixth form pupils well before the last day, and Year 6 loses days to transition visits and residentials. If you want a photograph of the whole year group in their hoodies, find the date that actually works and treat that as your real deadline.

When boxes arrive, check them against the order before they are handed out. Count them, check a sample of the individual names if the garments carry them, and sort them by form before you open the door to a corridor full of pupils.

Decide in advance what happens to a pupil who joins in June. Some schools order a few spares carrying the crest but no individual name, precisely for this. Because printed garments cannot be resold, spares are a judgement call rather than a free safety net, so agree the number when you order.

Send the washing instructions home with the garment: inside out, cool wash, no tumble dryer, never an iron directly on the print. Nobody reads a care label, but a line in the letter home is the difference between a hoodie that still looks good at Christmas and one that does not.

If you are starting late

Plenty of year groups will read this in the spring of 2027 with nothing decided. It is recoverable, but you will need to give something up, and it is better to choose what.

  1. Fix the funding route and the responsible adult in one conversation, today.
  2. Pick a garment and a colour that are reliably available rather than the exact shade someone had in mind. Unusual colours are the first to run short.
  3. Simplify the design. Fewer print positions and fewer colours mean fewer things to go wrong and less production time.
  4. Consider a shared back design rather than individual names on every garment. It removes an entire layer of collection, proofing and risk.
  5. Talk to your supplier before you promise anyone a date.

Getting a 2027 quote
